Company Policy Brief & Purpose
This company policy includes the measures we are actively taking to mitigate the spread of corona-virus.
You are kindly requested to follow all these rules diligently, to sustain a healthy and safe workplace in
this unique environment. It’s important that we all respond responsibly and transparently to these health
precautions, We assure you that we will always treat your private health and personal data with high
confidentiality and sensitivity.
This corona-virus (COVID-19) Company Policy is susceptible to changes with the introduction of
additional governmental guidelines. If so, we will update you as soon as possible by email or other
correspondence means.
Scope
This corona-virus policy applies to all of our employees who physically work in our office, warehouse and
drivers.
Policy Elements
Here, we outline the required actions employees should take to protect themselves and their co-workers
from a potential corona-virus infection.
Sick leave arrangements:
- If you have cold symptoms, such as cough/sneezing/fever, or feel poorly, you are requested to
stay home and immediately contact your Primary Care Giver. - If you have a positive COVID-19 diagnosis, you can return to the office only after you’ve fully
recovered, with a doctor’s note confirming your recovery. Recovery times can be as little as three
days, 72 hours, without a fever, (no medicines taken) seven days have passed since first
symptoms appeared.
Work From Home Requests:
- If you are an office worker feeling ill, but you are able to work, you can request to work from
home. - If you have recently returned from areas with a high number of COVID-19 cases (based on CDC
announcements), we’ll ask you to work from home for 14 calendar days, and return to the office
only if you are fully asymptomatic. You will also be asked not to come into physical contact with
any colleagues during this time. - If you’ve been in close contact with someone infected by COVID-19, with high chances of being
infected yourself, you are requested to stay home in quarantine for fourteen days. - If you’re a parent and you have to stay at home with your children, the company will be flexible
with your work schedule to accommodate your needs. Follow up with your manager or
departmental leader to make arrangements and set mutual expectations. - If you need to provide care to a family member infected by COVID-19, you will be permitted to do
so. You’ll only be permitted to return to the office 14 calendar days after your family member has
fully recovered, provided that you’re asymptomatic or you have a doctor’s note confirming you
don’t have the virus. You will also be asked not to come into physical contact with any colleagues
during this time.
General Hygiene Rules:
- Wash your hands after using the restroom, before and after eating, and if you cough/sneeze into
your hands (follow the 20-second hand-washing rule). You can also use the sanitizers you’ll find
around the office and warehouse. - Cough/sneeze into your sleeve, preferably into your elbow. If you use a tissue, discard it properly
and clean/sanitize your hands immediately. - Avoid touching your face, particularly eyes, nose, and mouth with your hands to prevent from
getting infected. - If you find yourself coughing/sneezing on a regular basis, avoid close physical contact with your
coworkers and take extra precautionary measures (such as requesting sick leave). - Always practice Social Distancing. Stay away from others at least six feet to reduce risk of
exposure. - In touching surfaces, wash your hands regularly with soap and water for twenty seconds or use
hand sanitizers. - When shopping for essential items away from work, it is recommended to practice Social
Distancing and wear a face mask. Wear gloves or use hand sanitizers immediately after exiting
grocery stores, pharmacies or take out eateries.
Know The Symptoms
- Fever, cough, shortness of breath. If you have any of these symptoms at work, please
immediately notify your Manager. Depending on symptoms severity and your temperature, you
will be isolated from other employees and if necessary, requested to go home. The Company will
provide a face mask and gloves so that you can exit work safely without exposing others and
your family.
What The Company Is Doing To Reduce Exposure Risk
- Multiple daily sanitizing of surfaces. Including bathroom fixtures, light switches, counters,
scanners, copiers, high traffic doorknobs, security system keypads, tables, counters, railings,
driver check in area. - Break room high touch areas: microwaves, refrigerator, coke machine, tables, chairs, counter,
sink, faucet, coffee maker. - Hand sanitizers and CDC Postings are placed in strategic areas.
- Employees are encouraged to wear gloves and face masks at all times on the warehouse floor
and PPE equipment will be provided or reimbursed for such work usage.
Visitors
- Customers are discouraged from visiting the facility until CDC and County of Santa Clara advise
the risk is reduced to allow visitors. If a Customer must visit the facility, masks are required to be
put on before entering facility. Social distancing must be practiced at all times while in the facility. - Drivers are encouraged to stay in their trucks while being loaded.
- Drivers are not permitted to use SJDS restrooms because they are located in the employee
break room. - Drivers are sequestered to a Central Point Of Contact Area and must put on masks before
entering the facility. Hand sanitizer is available for drivers in the Central Point Of Contact Area.
In The Event Of An Employee Tests Positive
- The Company will thoroughly investigate who the infected employee was in contact with the day
the employee was stricken. - Any employees that came in contact with the stricken employee will be requested to quarantine
for fourteen days. - The Company will cease operations for a period of time necessary to disinfect all areas the
employee worked in, or visited, the day of infection, and any material handling equipment the
employee operated. - The Company will stay in constant with the stricken employee to monitor his or her condition.
Mask Wearing
- For your safety and the safety of others, please wear a mask when purchasing food from the break truck. The State Of California Public Health and the County of Santa Clara Public Health Department require masks to be worn outside in congregations of people where social distancing cannot be practiced.
- For your and the safety of others, masks should also be worn when engaging drivers, signing paperwork, loading trucks, engaging Olympus employees when dropping pallets and verifying inbound freight coming from Olympus.
- Masks should also be worn when doing special projects where social distancing is not possible, nor practical.
